REGION 4D OUTOOR TRACK REPORT

II. SITE Wednesday, May 27, 2020: E. C. GLASS HIGH SCHOOL, Lynchburg, VA. Outdoor Track Facility - opens at 12:00 noon.

III. ADMISSION $7 for all spectators

IV. PASSES VHSCA-VHSL-VIAAA-VATA-VSBA-Principal state

membership cards.

V. OFFICIALS Key Officials (referee, starter, finish line, FAT) will be VHSL certified officials. I will assign various teams to run off the field events and to be turn umpires. The head field judges for each field event and the umpires will be paid if they are VHSL or USATF certified..

VI. ENTRIES Each team gets two (2) entries in each individual event and one (1) relay team in each relay event. To enter more than 2 athletes, all entries must have met the region standard in a meet during this outdoor season. For this meet, milestat will take only 3 max per individual event, so if you enter more than 3 in an event, the 4th,etc. entries must be on the VHSL form. All track entries must be FAT or hand timed and added .24 to the hand time. High hurdles, 100 and 200 times must be FAT.

All entries must be in the milestat database during this outdoor season.

If an athlete or relay team has met a region/state standard not in a meet listed on milestat, the coach must email or fax (434-522-3793) the meet results to Rod Camden (meet director) no later than 1 day before the region entries are due. Remember you may use the best time of the season (as long as it is on milestat) for your entry even if it is not a regional qualifying time if you are entering 2 or less athletes in an individual event.

VII. SCORING AND AWARDS (boys & girls): 2 Team Trophies (Championship and Runner-Up)

Medals (first eight places in individual events and first six relay teams)

Coaches should pick up medals packet prior to leaving the meet. Again this year we will be scoring 8 places (10-8-6-5-4-3-2-1) in each event .

VIII. HOSPITALITY ROOM Discount at concession stand will be provided for

officials and a maximum of 3 coaches from each team.

IX. ENTRIES You will be entering the meet twice, once on the VHSL

regional entry form and again on milestat.

Both entries are due by 9pm on Sunday, May 24,

2020. On the VHSL form you must state the meet and

the date of each performance. Milestat entries will open no later

thanApril 22, 2020.

Remember to include names of all potential relay runners

who are not in an individual event on your milestat relay list.

MILESTAT ENTRIES ARE FINAL AND MUST MEET THE 3 EVENT RUNNING EVENT RULE. RELAY TEAM MEMBERS ARE NOT FINAL UNTIL THE RELAY CARD IS TURNED IN TO THE CLERK. SINCE THIS IS A ONE DAY MEET, ANY ATHLETE ENTERED IN THE 3200 RUN IS ONLY ALLOWED ONE MORE RUNNING EVENT.

Please email VHSL entries to camdenrc@lcsedu.net. Coaches will be emailed a VHSL regional entry form at least a week before the meet or coaches may use the outdoor track regional entry form at vhsl.org. Remember all performances should be verified on the VHSL form.

You will also be entering on milestat and the milestat entries will be uploaded into the regional meet. If there is a conflict with the milestat and VHSL entries that cannot be resolved, the VHSL entry will override the milestat performance (I will attempt to contact the coach first). Early VHSL entries will be most appreciated!

X. SCRATCHES Email early scratches (no penalty) to camdenrc@lcsedu.net befoon Monday May 25, 2020(so the meet can be properly seeded for the program and events reseeded). After this time scratches will be taken at the coaches meeting without penalty. However the scratched event will count as an entry. No additions will be allowed after the May 24 milestat and VHSL form deadlines.

XI. TEAM FOOD Absolutely no food or drinks (except water) will be allowed on or inside the track on the turf field.

XII. TEAM PERSONNEL All team personnel managers, scorekeepers, etc,

must enter with the team. All team personnel must stay outside the infield, except for the head and assistant coaches and meet officials who are actively working the running events. Athletes warming up for the NEXT EVENT or EXITING their event are the only athletes allowed on the infield. Coaches should confer with athletes outside the infield area.

Teams may put up tents around the outside perimeter of the track, but at least 30 meters away from the jump pits and pole vault runway. No tents in the stands.

XIII. QUALIFIERS TO STATE: The top 4 athletes and the top 4 relay teams from the region meet automatically qualify for the state meet in addition to any athlete/relay team who has a state qualifier in a 5 or more team meet during the season using FAT or a 10 or more team meet without FAT. You MUST fill out a state entry form and turn it into the meet director prior to leaving the regional meet. You will then be given a xerox copy of your state entries. Further information will be given at the coaches meeting. Meet director, Rod Camden, will be the meet referee in case of any rule violations. Appeal forms are in the press box.

XIV. TENTATIVE TIME SCHEDULE FOR SATURDAY:

12:30 pm: COACHES MEETING IN PRESS BOX (PICK UP PACKETS AND OTHER IMPORTANT ITEMS; SCRATCHES TAKEN ONLY IN RUNNING EVENTS IF IT WILL REDUCE THE NUMBER OF SECTIONS. FIELD EVENT SCRATCHES AT THE SITE.

12:00 PM TO 12:45 pm: weigh shot and discus; weigh vaulters.

1:00 PM Girls LJ, Boys SP, Boys LJ, Girls Discus (top 9 to finals)

1:00 PM Boys HJ (5 4 start), Girls PV (7 6 start ) FIVE ALIVE
