SPECIAL NOTICE REGARDING COVID PROTOCOLS AT SHENANDOAH UNIVERSITY

For high school indoor track meets at the James R. Wilkins, Jr. Athletics & Events Center, all spectators must wear a mask regardless of vaccination status.  All high school track athletes must remain masked when not actively warming up or competing.  All athletes must be masked in the designated team area.  Masks may be removed to eat or drink, but must be promptly put back in place when possible.  Any participant or spectator who does not follow these guidelines is subject to removal without refund.

Doors open to teams at 2:45 PM, events start 3:45 PM.

(Girls' high jumpers and girls' long jumpers ONLY may be admitted at  2:30 PM pending conclusion of morning meet).

ADMISSION: $7.00 for all spectators. Doors open at 3:15 PM. Early tickets will be available on GoFan at https://gofan.co/app/school/VA24917

PASSES: VHSCA, VHSL, VIAAA, VATA, VSBA, and VHSL Principal state membership cards only. No school, district, region, or senior passes.

OFFICIALS: Key officials (referee, starter, finish line, FAT) will be VHSL certified officials. Each team is asked to provide one coach to assist with field event assistance. The meet directors of the two district meets and the starter will act as the jury of appeals. If an appeal involves a team associated with a member of the jury of appeals, a substitute from the same district will be assigned.

QUALIFIERS:

(1) Top 6 places in individual events and top 3 relay teams from each district championship advance to the 4C championship.

(2) Any other athlete or relay team who has met regional/state standards in a 3 or more team meet and who is listed on Milestat.

(3) If an athlete or relay team has met a regional/state standard not in a meet listed on milestat, the coach must email or fax the meet results and VHSL region/state qualifying form to Craig Woshner (meet director) no later than 1 day after the district championship meet. Remember you may use the best time of the season from a meet involving 3 or more teams (as long as it is on milestat) for your entry even if it is not a regional qualifying time.

 

SCORING: 6 places (10-8-6-4-2-1) for all events, including relays.

AWARDS: Team Champions and Runner-Up. Medals to top 3 in individual and relay events Coaches should pick up awards packet prior to leaving the meet.

HOSPITALITY: Small hospitality will be available for event workers and coaches.

APPAREL: Will be on sale through American Screen Printing.

CONCESSIONS: Will be operated by Shenandoah University.

FAT TIMING: Operated by Blue Ridge Timing.

ENTRIES: You will be entering the meet twice, once on the VHSL regional entry form and again on Milestat.All entry marks must be from the 2021-2022 indoor track season. The Milestat entry link is TBA.

Both entries are due by 8:00 PM on Thursday, February 10, 2022.On the VHSL form, you must state the meet and the date of each performance.Milestat entries will open on February 1, 2022.VHSL entry forms must be faxed or

emailed to Craig Woshner.

Remember to include names of potential alternate relay runners who are not participating in an individual event.

 

MILESTAT ENTRIES ARE FINAL AND MUST MEET THE 3-EVENT RUNNING EVENT RULE. RELAY TEAM MEMBERS ARE NOT FINAL UNTIL THE RELAY CARD IS TURNED INTO THE CLERK. SINCE THIS IS A ONE DAY MEET, ANY ATHLETE ENTERED IN THE 3200 METER RUN IS ONLY ALLOWED ONE OTHER RUNNING EVENT.

Email is preferred over faxing if possible.  Please email VHSL entry forms to woshnerc@fcpsk12.net .Coaches will be emailed a VHSL regional entry form and coaches may use the indoor track entry form at vhsl.org.Remember all performances should be verified on the VHSL form.

You will also be entering on Milestat and the Milestat entries will be uploaded into the regional meet. If there is a conflict with the Milestat and VHSL entries that cannot be resolved, the VHSL entry will override the Milestat

performance (I will attempt to contact the coach first). Early VHSL entries will be most appreciated!

SCRATCHES: Email early scratches (no penalty) to woshnerc@fcps.net by the entry deadline but before noon on February 10 so the meet can be  properly seeded for the program and events reseeded. After this time, scratches

will be taken at the coaches meeting without penalty. No 
additions will be allowed after the February 10 entry deadline.

SU REGULATIONS: 1/8 or pyramid spikes only are permitted. Shoes will be inspected prior to the meet and in the bullpen.See additional facility rules below and please adhere to these expectations.

TEAM PERSONNEL: All team personnel including managers, scorekeepers, etc. must enter with the team. All team personnel must stay in the designated team area except for athletes reporting for events. Coach's boxes in the infield for field events will be described at the coaches meeting. Head coaches only will be allowed in the infield (except for coaches boxes in field events).

STATE QUALIFIERS: The top 3 athletes in individual events and the top 3 relay teams from the region meet automatically qualify for the state meet in addition to any athlete/relay team who has a state qualifier in a meet involving 3 or more teams during the regular season. You MUST fill out a state entry form and send to meet director by 12:00 PM on Sunday, February 20. Further information will be given at the coaches meeting.

The state meet will be held on Monday and Tuesday, February 28-March 1, at Liberty University. Information will be sent to schools through the athletic directors once received from the VHSL. You will also be able find this information on the VHSL website and on Milestat.

COVID-19 Protocols:

 Officials should be masked at all times regardless of vaccination status.

 Where possible host institutions should consider creating marked and visually separate team areas. Team areas should be at least 6 feet from spectator seating. Chairs in team areas do notneed to be distanced. 

 Masking is not required when Tier 1 individuals are in team areas. 

 Masking is recommended outside of team areas. This could include: traveling to warm-up and cool down areas, walking to and from team areas, and in coaching areas.

 Event planning should examine spectator seating and proximity to competition areas when determining masking requirements.

Parking & Athlete Drop Off: Teams must unload and pick up at west entrance of Wilkins A&E Center (between building and I-81) and enter through southern most door on that side (closest to main parking lot). Teams are NOT TO ENTER main entrance / Rotunda at all through course of meet. Busses and Vans can be parked behind the building in the designated bus parkingareas.

Athlete Warm Ups / Cool Downs: Athletes may use the stadium turf for warm ups. Please inform athletes they are absolutely not permitted to use adjacent golf course for warming up. The outdoor track on main campus (down hill from indoor track) can also be used for warming up.  Please instruct athletes the North entrance (all glass) is the only in/out for athlete access to building once meet has begun for warming up and cooling down. Again, Teams are not to exit/enter main entrance / Rotunda at all through course of meet.
