Entry Information: Entries are due by 10:00 pm on Monday, May 20.      Entries will be done online through Milestat. Following the closing of entries on May 20, each school will receive an email of their entries. Backup VHSL forms should be submitted by e-mail to Halle Paauw- hpaauw@yahoo.com. Once entries close, athletes are considered declared.

 Final scratches will be taken at the coaches meeting. Only scratches can be made at that time.

       Individual Entries:

        Any student placing top 6 in their district meet (among Class 3 schools) or any student having met the regional standard in a meet with 4 or more teams qualifies for the Regional Championship meet.

        Relay Teams:

        Any relay team placing top 3 in their district meet (among Class 3 schools) or having met the regional standard in a meet with 4 or more teams qualifies for the Regional Championship meet. Please make sure that any

athlete you may want to use on a relay is entered in the relay on Milestat, or is entered in an individual event. It helps to have all possible participants in the computer ahead of time.

        Verification of Entry Performances:

        All performances should be verified using MileStat. 

        Any performance that is not verified on MileStat will require a VHSL verification form including the athlete's name, performance, name of the meet, date of the meet and a signature from the meet director. This form needs to be e-mailed to Halle Paauw (hpaauw@yahoo.com) prior to the entry deadline. 

        Only marks/times from outdoor 2024 will be considered acceptable for the Region 3C Championship meet.

        All times submitted must be F.A.T.

        To convert a hand time round the tenths place up if the hundredths place is greater than 0 and then add 0.24 to

that rounded time

        All heats, flights and sections will be determined using MileStat entries.

        We will follow all applicable NFHS and VHSL rules and regulations along with the Class 3, Region C handbook.

Advancement:The top 4 individuals and top 4 relays will advance to the state meet, plus automatic qualifiers (those who have met the state standard in a meet of 4 more teams).

Awards: Team trophies will be awarded to the top two (2) teams (boys and girls).

Medals will be awarded to the top six (6) individuals per event and the participants on the top two (2) relay

teams per event (boys and girls).   Athlete of the Year (boy and girl) will be awarded based on the votes of the

head coaches

Coach of the Year (boys and girls) will be the coach of the region championship teams.

All individual event winners will be considered "First Team All-Region". Each school should have

these certificates as shared with region AD's at the start of the school year.

Participants finishing in the top 6 (individual events) and top 2 teams (relays) can pick up their awards

from their coaches following the meet.  A packet with individual awards will be prepared for each school.

Bus Parking: All buses should park directly behind the white fencing above the practice soccer fields.These spots will be coned off for buses.  In the event of bad weather, your team bus will be used to house all your team members.  

Admission: $8.00 - VHSL Approved Passes only

Spectators: Spectators can watch the meet from either the home or visitor bleachers. Bleachers will be available at the throwing areas, as well. Please stay behind the flag barriers for the safety of both the student-athletes and other spectators at the throwing venues. 

 No spectators will be allowed on the infield.   Coaches only are allowed on the infield

Tents/Team Area: Teams can set up anywhere on the lower soccer field across the street from the stadium. Warmups will take place on the upper soccer field. Any athlete needing more space to warmup may do so around campus at their own risk. There should be NO TEAMCAMPS ON THE INFIELD!  Bleachers are for spectators only.  

Scoring:10-8-6-4-2-1 for both individual and relay events

Starting Heights: The starting height for the pole vault and high jump will be determined using the qualifying standards and the field of entered students. The starting heights will be emailed to the participating schools

after entries have closed.

Warm-ups: Warm-ups for running events should be completed on the

upper soccer field across from the stadium. Any athlete choosing to use areas of campus to warmup does so at their own risk. Hurdlers will be allowed to warm-up in the outer lanes during the 4x800m relay.  The amount of time

allotted for warm-ups for the field events will be determined by the officials running the event and is dependent number of athletes competing in each event.

Spikes: inch (or smaller) pyramid spikes are to be used on the track and all runways/track surfaces.

Athletic Trainer: LCA trainer Gideon Fisher will be onsite.  He can provide first aid care and ice. Any athlete needing to be taped must provide their own tape and pre-wrap.

Water Stations: There will be multiple water stations around the areas of competition. Please

make sure athletes bring water bottles with them that they can fill up at the stations.

Clerking: Participants can check in at the hip number table to get their hip numbers at any time.  Hip numbers are needed for the 800, 1600, 3200, and all relays only.   Athletes will be clerked for their running events at the starting line for each event.   Check in for field events will be at each field event.

Coaches are allowed on the infield.  All participants should exit the track at the gate nearest the main entrance. Athletes jumping the fence risk disqualification from the meet.  

No electronic devices should be used in any competition areas inside or outside of the oval.

Relay cards: Please turn in relay cards to the bullpen when checking in. Please be sure to include school, gender,

event and relay team members.

Timing: FAT timing by Blue Ridge Timing will be used. Results will be posted throughout the meet on

the press box windows at the top of the home bleachers. Results will be posted on MileStat and emailed to the Athletic Directors after posting to MileStat.  

Declaration Rule: Scratching a participant from an event does not affect any remaining events that the athlete

may be entered in. However, once a participant is declared in the maximum number of track events (3 or 2 if in the 3200), coaches may not scratch them from an individual event and then enter them into a relay.

Protests: Rod Camden is our meet Referee for running events and Robert Beard for field events. Please submit any protests directly to them. 

Jury of Appeals: The members of the Jury of Appeals will meet to render a decision on any protests.

All decisions will be final.

Concessions: Concessions will be available throughout the meet near the entrance gate. Food trucks will be

available in the back parking lot near the visitor stands.

Hospitality Room: LCA will be providing a hospitality room with lunch for coaches and officials.

Schools assigned need to supply all workers for the event but do not need to supply a head official for

the event.

8:30am- Verification of Poles (girls and boys until 9:45- if a boy is not there by then, we will still verify their poles before the start of boys pole vault)

9:00- Weigh-in of implements

9:30 am Coaches meeting at the Finish Line10:00 am- Start of girls pole vault to be followed by boys- Starting height- Girls- 7-6, Boys- 10-0

10:30 am Girls/Boys Long Jump (top 9 to finals), followed by Girls/Boys Triple Jump (top 9 to finals)
