FACILITY OPENING TIMES

The facility will open up at 3:15 PM on Friday and 7:15 AM on Saturday. All athletes, coaches, and officials will need to come through the smaller pass gate located closest to the large parking lot and near to the starting line area of the 100 dash and concession stand area. Athletes will have a window of 90 minutes on Friday and 60 minutes on Saturday to warm-up on the track before it is closed to prepare for the first running events of the day.

MEET EFFICIENCY > MEET NUMBERS

Do not be concerned about the numbers for this meet to drag on late until Saturday as this will not be your typically run small invitational meet as we will be well staffed in the 3 critical areas of meet efficiency with 5 timers, 4 clerks, and 3 starters. The past two years we have started the final event (albeit non-scoring event) of the steeplechase around 4 to 4:30 PM on Saturday and honestly could have been done earlier. Granted this year's meet is larger with 350+ more athletes, but I'm anticipating after scratches, reseeding, and condensing of heats....we'll be done sometime a little after 5 pm and not the current projected finish after 6:30 pm on Saturday.

ATHLETES MUST WEAR BIB #'s AT ALL TIMES

This year all competing athletes will be required to wear and compete with bib #'s, which will be found in your team packets along with enough safety pins. Only athletes which you entered in individual events and selected as relay legs in the entry system will be assigned hip #'s. Do not bring a cheerleading section of athletes not competing in the meet as they will not be given free access to the meet and must pay admission like everyone else. When athletes leave for warm-ups outside of the track, they must have their competitor #'s on them to show the security and volunteer at the pass gate to get re-entry.

COACHES WRIST BANDS & MEAL TICKETS

All coaches will receive wrist bands in their team packets that they will need to wear as well to leave and re-enter the facility with no problems both days. I will put 3 wrist bands in every team packet. Let me know if you have more coaches and need more than 3.

For every dozen athletes that a team has entered in a meet, they will receive one coach's meal ticket to redeem at approximately 1 pm for 2 slices of pizza and a drink.

*IMPORTANT!* CHECK-IN & RESEEDING OF EVENTS *IMPORTANT!*

Athletes or coaches on their behalf in running events must check-in 75 minutes prior to start of their event*. The check-in area and clerks table will be located in the grass area just outside of track fence near the 100 dash starting line. (DO THIS! > YOU CAN CHECK IN EARLY AS POSSIBLE i.e. CHECK-IN AS SOON AS YOU ARRIVE AT FACILITY < DO THIS!) Otherwise will considered as a no-show and will be scratched from the event. Put a check by your name at check-in tent to declare yourself as competing in the event. Put a line through your name if scratching from event. Check-in sheets will be pulled one hour before event and re-seeded to condense heats and re-assignment lane assignments/hip #'s. Athletes then will need to report back to the clerking table approximately 30 minutes before their race for hip #'s and section/lane assignments.

* Above check-in policy does not apply to Friday's developmental races, field events, or Saturday morning 3200s. Friday relays and all other Saturday running events (except for the 3200 runners) need to follow the above check-in proceed to insure they will not be considered a no show and scratched out of the event. However, athletes in friday developmental races and Saturday morning 3200 runners simply need to report to the clerking area/tent (located just outside of 100 dash starting line) roughly 30 minutes before their event for section assignments and hip #'s. Field event athletes simply to report to the officials running off their event for check-in.

Check-in Procedure: A two-step process. FIRST STEP -Athletes and coaches must first put a check by their name on the scratch table. Line through their name if scratching from event. If they do not put a check by their name or relay then they will be scratched from the event when the sheet is pulled 1 1/2 hours before the event is scheduled to start for reseeding.

Please do your check-in or scratches as soon as you can on meet day! Coaches if you have any late meet day scratches (EX: meet-day injury or decide to shut down athlete for day) Please visit the scratch table to strike out that athlete from their remaining events.

SECOND STEP - There will be a first call 30 minutes prior to the event and final call 15 minutes prior to the event, which athletes need to report for heat and lane assignment from the clerk as well as receive their hip numbers. HIP NUMBERS GO ON LEFT HIP!

At Sports Backers Stadium, the check-in area will be directly behind the 100 meter starting area outside of the track fence.

ADMISSION FEE

Remind your parents that there is a $3 admission fee for Friday's events and $5 admission fee for Saturday's events. There is no charge for parking as thankfully our local minor league baseball team which their stadium is adjacent to Sports Backers Stadium, does not have a home game this weekend or otherwise, we'd be at the mercy of them charging for parking. Kids 6 and under are free.

T-SHIRTS

Meet t-Shirts will be sold and printed on-site for both days of events. I'll post or send out shirt prices once I get them.

TENTS

No tents can be setup on the homestretch side stands for safety reasons and also to not impede the view of spectators and our timers. You may set up team tents in the grassy areas outside of the track fence along both turns as well as on the backstretch stands.

MEET SPONSORS ADIDAS & ROADRUNNER RUNNING STORE ON-SITE

Our two meet sponsors adidas and Roadrunner Running Store. adidas will be showing off some of their new shoes and coaches should stop by their tent to check out some of the team uniforms which adidas currently ofers. Roadrunner Running Store will be selling spikes, apparell, and shoes. You can also visit Roadrunner Running Store nearby in Carytown at 3002 West Cary Street.

SHOT PUT & DISCUS WEIGH-INS

Implement weigh-ins for the shot put and discus will occur approximately 1 hour before the start of the event at the track shed/garage located beyond the finish line area outside of the gate.

ATTEMPTS IN FIELD EVENTS

Athletes in each preliminary flight of the long jump, triple jump, shot put, and discus will be given three attempts. The top 9 overall from all flights will then advance onto the finals with 3 more attempts. Top 8 score and top 6 medal.

MININUM MARKS IN FIELD EVENTS

All field events athletes in the long jump, triple jump, shot put, and discus will have their first legal mark measured. All remaining legal attempts must meet the below minimum marks in order to be measured.

Boys Long Jump - 19'0"
Girls Triple Jump - 30'0"
Boys Triple Jump - 38'0"
Girls Shot Put - 27'0"
Boys Shot Put - 37'0"
Girls Discus - 75'0"
Boys Discus - 110'0"

BLOCKS USE IN 400 & 300 HURDLES

Blocks will only be allowed in the top 3 sections (top 24 seeds) of the boys and girls 400 meter dash and 300 meter hurdles. All other sections will compete without blocks.

HEAT/FLIGHT ORDER

Running events and field event flights will go from slowest to fastest/worst to best with the exception of the 3200 meter races on Saturday morning which will begin with the seeded section of the girls followed by the seeded section of the boys then all of the unseeded sections of girls then all of the unseeded sections of boys.

DISTANCE RACES LANE PREFERENCE

For distance events with waterfall starts, we will seed best to worst from outside to inside lanes. All distance events will have alley starts with the breakline after the first turn into the backstretch.

RELAY CARDS

Relays will be required to turn in relay cards in correct order at check-in for their relay events. Relay cards will be in each team's packets.

RUNNING EVENT LIMITS

Athletes can only compete in a maximum of 3 running events between the two days of events. Athletes racing in the 3200 can only compete in one other running on Saturday, but could compete in a Friday running event (ex. relay) for a total of 3 races. Any athlete found to be violating and surpassing the running event max limit rules will be disqualified from all running events which they competed in as well as their relay if they competed on.

AWARDS

Top 6 individuals in each event will receive awards. First place individual and relays will receive a small trophy, while all remaining place winners will receive medals. Members of the top 3 relays will receive awards. Top 3 teams will receive awards. We would like to present team awards to the head coaches of the top 3 teams during the girls steeplechase, since the 200 meter dash is the last scored event. There will be an awards area in the press box above the homestretch stands for athletes and coaches to pick up their medals.

INFIELD ACCESS

No coaches or athletes will be permitted on the infield area on Friday or Saturday at Sports Backers Stadium unless currently competing in a field event and will be grounds for disqualification. We will strictly enforce this at Sports Backers Stadium as VCU wants to protect their grass infield area for other events. No electronic devices (cell phones, iPods, CD/MP players, etc) are allowed in the competition area. This rule is in place for your and others safety. THE INFIELD IS NOT AN AREA FOR WARM-UPS!

UNIFORM RULES

We will operate similar to a championship meet in regards to uniform and jewelry rules as this is a high caliber event. Please make sure your athletes are aware and adhering to the uniform rules. Our clerks will try to do prevent officiating and try to warn and ask athletes to change into legal uniforms during the check-in process, but it is the sole responsibility of the athletes to wear the proper uniform to prevent being disqualified for any uniform violations.

WEATHER FORECAST

Current weather forecast is simply looking amazing and pleasant for both days of the meet with highs in the mid 70s with virtually no chance of rain and sunny skies. Very light wind, which is a good break for us since its been an unusually wind spring.

If you have any questions about the meet, please contact me through email first at milestat@gmail.com and only through phone if urgent at 804-874-3201. Looking forward to a great weekend. Thanks in advance for coming
