Colonial Forge Showcase

Saturday May 4th, 2013

We would like to invite you and your team to the Colonial Forge Showcase, to be held this year Saturday May 4th at our track in Stafford, VA. 2012s meet saw the recording of 46 National Elite and 182 Milestat Elite performances as defined by Milestat.com; this was the most of any meet in the state of Virginia that was held the same weekend. While full information is included in this packet, we wanted to direct your attention to a few things that we feel make our meet stand out from the rest:

College/Professional Time Schedule: One of the biggest challenges as a high school coach at a meet, especially with large teams, can be getting your athletes to the right place at the right time. Much like a college or professional meet, we set a time schedule once we have received all the entries and do our best to follow it as close as possible. This helps the athletes to plan out their pre-race routine and hopefully helps alleviate some of the when should I warm up? questions for you as a coach. We have included a preliminary projected time schedule and will publish a finalized time schedule once all entries have been received.

Entry/Payment Options: We understand that every team has different needs when it comes to entries for weekend invitationals. As such, we have provided two ways to enter our meet: a team entry fee and an individual entry fee. If you are looking to bring an entire team, you can use the team entry fee and receive a certain number of entries per event for a discount. If you are only looking to bring a small number of athletes, you can use the individual entry fee to save money. The individual entry fee may also be used for teams that would like to enter additional athletes in an event over the amount of slots they were given.

Coachs Hospitality: Throughout the course of the meet, your entire coaching staff is invited to our coachs hospitality room. We will be providing Chik-Fil-A sandwiches, pizza, drinks, chips, and baked goods for you all evening.

Survivor Race: We conclude the meet each year in our unique way the Survivor Race. Each team will be given at least one free entry into the race (final number will be determined by interest); all competitors will start the race, with a pre-determined number of runners to be pulled from the field each lap until only one remains. The champion of each gender will be given a unique trophy to commemorate the win.

Live Results/Live Feed We know family and friends cannot always travel to see their athletes compete. We will be offering instantaneous results and live video free of charge.

ATMOSPHERE: Under the lights. Music. Top competition. Fast times. We try to encourage a big time atmosphere to bring out the best in each athlete and help them to prepare for Championship Season.

Location / Directions: Take exit 140 off of I-95. Go West off the exit onto Courthouse Rd. Take Courthouse for 2 miles and the school will be on your Left. Take the 2nd exit into the school into the Bus Loop and the track is located in the back. Look for stadium lights.

Entry Information
All entries will be done through Milestat.com
The deadline for entries will be Wednesday May 1st at midnight
The general entry fee is $125 per school, per gender and includes:
o 1 team entry per relay
o 2 individual entries in each field event
o 3 individual entries in each running event
You may also enter more individuals/relays for an additional fee:
o $5 individual/$15 per relay

Awards: The top three places in the individual events and in the relays will receive unique custom awards. The first and second place teams in each gender will receive a trophy.

Scoring: The first eight places in each event will score. The standard point distribution of 10,8,6,5,4,3,2,1 will count towards the overall team score.

Seeding/Field Event Format: Trials will be run in the 100m Dash and 100/110m Hurdles with top 8 times advancing to the finals. All other running events will be run as TIMED FINALS slow to fast. Field Events will be FINALS ONLY with 4 attempts per Individual. All field events outside of the vertical jumps will be done in an open pit format for one hour or until all athletes have competed (whichever is shorter). Opening heights and progressions in the vertical jumps will be posted after all entries are received.

Concession Stand: There will be a full concession stand for all athletes, parents, and spectators.

Coachs Hospitality: There will be a coachs hospitality room open throughout the meet. All coaches must have a wrist band to enter.

Meet Apparel: Main Event Sportswear will be selling meet apparel throughout the course of the evening. Fully customizable t-shirts, sweatshirts, shorts and other items will be for sale.
