GROUP AA BOYS AND GIRLS STATE TRACK &FIELD MEET INFORMATION

The Group AA State Track and Field Meet will be conducted June 3 & 4, 2011 at Harrisonburg High School in
Harrisonburg Va.

ADMISSIONS: $5.00 for Friday session and $8:00 for Saturday. No charge for pre-school children accompanied
by a paying spectator. Each participant will need his/her competitors number for admission.

PASSES: The current VIAAA, VHSCA, VATA, VSBA and VHSL membership cards (accompanied with drivers license) will be honored for one admission. Passes are issued based on the number of entries you have in the state meet, not on how many coaches your school may have passes are in your packet based on the information below.

Each head coach will be issued ONE admission pass; if a school has more than 5 athletes in the State Meet the head
coach will be issued TWO admission Passes. Upon first entry to the state site, the coachs admission pass and hand
will be stamped for admission. Once the admission pass is stamped, it is no longer good for admission, unless the
user has his/her hand stamped. Passes for spouses will not be issued. Each participant will use his/her competitors
number (and hand stamp) for admission. Once the competitors number is stamped, it is no longer good for admission unless the user has his/her hand stamped.

COACHES MEETING: The coaches meeting will be conducted in the Harrisonburg High School Gym/Commons, which is a short distance across the Parking lot from the Athletes entrance into the stadium. Meeting time will be 4:00 PM. Packet pickup will be at the Athletes entrance to the stadium. Bus parking will be behind the School on the opposite side from the stadium.

FACILTY: The Harrisonburg High School track is an 8-lane 400-meter track. pyramid spikes or flats may be
used. This meet will be conducted on a 400-meter track. Throwing events will be conducted on the practice fields
adjacent to the stadium, access to the throwing events will be from inside the stadium behind the visitors stands.
Throwing sectors for the state meet will be 34.92 degrees. It is recommended that coaches and meet directors adopt the small sector throughout the season so athletes are prepared for the state meet.

FINISH LYNX TIMING SYSTEM will be the official timing for all running events.

HOUSING: See attached list.

EQUIPMENT: Each team must furnish its own towels, shots, discus, batons and poles. Starting blocks will be
supplied by Harrisonburg High School. NO OTHER BLOCKS MAY BE USED. Vaulting poles will be inspected and Vaulters will be weighed in. Nothing may be altered on the pole. Original Manufacturer markings must be visible. Head coaches will provide a written certification to the meet director that each competitor uses proper weighted poles. USATF officials will certify throwing implements to the exact standard of the rule. Rubber discs with edge dings, rough or narrow edges will not be allowed. Implements not in compliance will be impounded during the event. Each contestant will wear a proper track uniform which shall consist of a jersey, trunks and shoes as identified in rule 4-3 of the current rulebook. Competitors numbers will be provided by VHSL

AWARDS: Team trophies (1st, 2nd and 3rd) will be presented at the conclusion of the Meet. Individual medals (1st through 8th) will be presented after each event. Note that 1st through 8th place will be scored (10-8-6-5-4-3-2-1).

PARTICIPATION LIMITATIONS: A contestant may compete in any number of field events. A contestant shall be limited to participation in only three running events for the two-day meet. Exception: An athlete participating in the 3200M run may participate in ONE other event on that day. Note: An athlete participating in the 3200 M relay on Friday can run ANY two events on Saturday. An athlete NOT participating in the 3200M relay on Friday can run in three events on Saturday.

If a contestant is entered in a field event, which conflicts in the time schedule with a track event in which he is entered, he shall make advance arrangements with the official in charge of the field event to postpone his trials until after the track event has been run. No track or field event will be held up to accommodate a contestant.

NOTE: Competitors shall be disqualified for an event if his/her coach, manager, attendant or anyone associated
with his/her team is on the infield, the track, the enclosure inside, or those areas designated only for officials and contestants actually participating or preparing for an event, after a running event starts.

ELIGIBLE TO STATE MEET: Entries may be only those contestants who place 1st, 2nd, 3rd, 4th, 5th or 6th in a
Regional Meet or those contestants who were properly reported to the District or Regional Meet Director as
having met the state qualifying standards at the District or Regional Championship Meet (trials or finals) or who met
the state qualifying standard in a meet of 10 or more teams and who have submitted the State Standard Verification
form TO THE REGIONAL REPRESENTATIVE. A state verification form must be submitted with your entries.

FOR ELIGIBILITY IN THE STATE MEET: To enter athlete(s), each coach shall satisfy the following requirements or the schools athletes will be ineligible to participate. USE F.A.T TIMES ONLY!

FOLLOW THE INSTRUCTIONS GIVEN TO YOU BY YOUR REGIONAL DIRECTOR. (HE OR SHE MAY HAVE SOME ADDITIONAL INSTRUCTIONS.

1) Before your Region Meet Email your Region Meet Director or his Designee for your Meet events file. This file will be necessary in order to do your HY-TEK entry by email.
2) Before leaving your Region meet turn in a Paper copy of your Entry, along with any State qualifying forms that you intend to use for your State Entry.
3) After your Region Meet, (by noon on Sunday May 29th) you should email an electronic version of your entry using your HY-TEK software. Team Manager or Team Manager Lite. Go to File, Export Meet Entries, save to disc and email as an attachment to your Region Meet Director or his designee.
4) On Monday, May 30, Regional Directors will take scratches from teams entered in the State Meet.

SCRATCHES MUST BE RECEIVED BY NOON ON MONDAY, MAY 30TH. CONTESTANTS FROM A SCHOOL WILL BE CONFIRMED FOR THE MEET UNLESS THE COACH CONFIRMS HIS OR HER SCRATCHES BY NOON MONDAY.

5) The meet will be seeded on Monday afternoon and sent to Regional directors. They will check and confirm
or correct and notify State Director by noon on Tuesday May 31st.

NOTE: ANY SCRATCHES IN THE RUNNING EVENTS AT THE COACHS MEETING PRIOR TO THE STATE MEET, RENDERS THAT INDIVIDUAL INELIGIBLE FOR ANY RUNNING EVENT COMPETITION DURING THE STATE MEET. CELL PHONES: Many of you have cell phones or pagers. The ringing of all cell phones/pagers can be very distracting for our competing athletes, particularly if it rings at the start of a race, approach or spin in the circle. It is a violation of NHFS rules for an athlete to be speaking on a phone in the competition area. An athlete may be disqualified for this violation. Meet management requests that you change the ring to silent or vibrate so that potential problems or distractions will not inhibit the performance of our stat meet participants. THE COMPETITION AREA IS ANYWHERE INSIDE THE TRACKS FENCED AREA OR THE FLAGGED AREA ON THE THROWING FIELD.

EXAMPLE: 100 M HAND TIME ON WATCH 11.21 = 11.3 + 0.24 = 11.54 FAT

When converting hand times for non-standard events, add 0.24 seconds before using multiplier/divisor
